Why use Microsoft Teams? Don’t let virtual meetings stress you out. This step-by-step video on Microsoft Teams will guide you on how to use the platform to make your meetings more productive and stress-free. By the way, virtual meetings can save you a lot of time, especially on transportation, but remember not to abuse them if you are a manager.
Let’s jump right in, and I’ll show you the easy steps to start your virtual setup. In Microsoft Teams, you can set up a virtual meeting link and invite your team. When you’re in Microsoft Teams, you can create a meeting by going to the calendar. If you’re using the same email registered on your Outlook and Teams, you can share the same calendar. You can also create a meeting using Outlook. Simply go to the calendar, select “Meet Now,” and you can start a meeting immediately.
If you want to schedule a meeting, click on “New Meeting,” and it will take you to a screen to set it up. You can change the title, set the date and time, and add details. It’s always good to copy and paste some agenda items if you have frequent or repeated meetings. In my next video, I’ll show you how to create an agenda. If this is an internal meeting, you don’t need to put in too much information, as the details will be sent to your participants.
When using Microsoft Teams for the first time, finding the meeting link can be tricky. Unlike Zoom, where the link is readily available, Teams requires at least one required attendee to generate the link. You can add your email, send an update, and then copy the link to share with participants. If you’re working within the same organization, it’s easier, as you can just select the attendees from your contact list.
If you’re a participant, joining a Microsoft Teams meeting is simple. When invited, you’ll receive an email with a link. Click the link, and it will take you to the pre-meeting screen where you can set up your audio and video before joining. If you don’t have Microsoft Teams installed, you can join through the browser.
Before joining a meeting, ensure your equipment is set up correctly. Go to the settings, check your devices, select the right microphone and speakers, and make a test call. This ensures that everything is working before you enter the meeting.
Lastly, a common question is whether you can record meetings in Microsoft Teams. Yes, you can. During the meeting, click the three dots and select “Start Recording.” The recording will automatically save, and you’ll receive a notification when it’s ready to view or download.
I hope this simple guide helps you kick-start your virtual meetings using Microsoft Teams. I love using it because it saves a lot of time compared to attending physical meetings.
