Transcript: 5 OneNote Features for Maximum Productivity

Here are five OneNote secrets for maximum productivity.

Tip 1: Copy Text from a Photo
To copy text from a photo, insert the photo into OneNote by dragging and attaching it. For example, here’s a photo of one of my favorite foods. Once inserted, right-click the photo and select Copy Text from Pictures. The text is now copied. Simply paste it using Ctrl+V. You can also adjust it as needed. For a bonus tip, you can turn the text into bullet points by pressing Ctrl+P or use Ctrl+/ for numbering. This feature makes extracting text from images quick and easy.

Tip 2: Use Dictation to Take Notes
If you’re feeling lazy or need hands-free note-taking, try the dictation function. Click anywhere in OneNote, go to Home, and select the dictation button. The blinking cursor indicates it’s recording your speech. For instance, “Today is a very hot day, and I’m showing you how to use the dictation button.” Once finished, click Stop. This feature is perfect for meetings where you don’t want to type, as it converts speech into text.

Tip 3: Draw Perfect Shapes
If you enjoy drawing but struggle with perfect shapes, OneNote has an auto-shape function. Go to Draw and sketch a circle, triangle, or square. It might look uneven initially, but hold your pen or mouse in place for a few seconds, and OneNote will transform it into a perfect shape. This works for circles, triangles, squares, and more. It’s a great way to make your notes look neat and professional.

Tip 4: Sort Your Pages
For those with numerous pages, sorting them can save time. You can click to sort pages alphabetically or by the date they were last modified. This feature helps keep your notes organized, especially when you’re working with a large volume of information. If you prefer manual sorting, drag and drop the pages to arrange them as desired. Switching between automatic and manual arrangements is seamless, giving you full control over your organization.

Tip 5: Draw Straight Lines with the Ruler Tool
When you want to draw straight lines, use the ruler tool. Click on the drawing tool, select the ruler, and position it on the page. Drag your pen or mouse along the ruler to create a perfectly straight line. Adjust the angle for precision or align it to specific degrees. This feature ensures your lines are neat and visually appealing, whether for diagrams, charts, or annotations.
